The Regional Baha’i Council is looking to fill the following position. This is a volunteer position to assist in regional meeting logistical arrangements. It is a wonderful opportunity to be of service to the wider area Baha’i community and to be part of a dedicated and fun team.
Position Description:
This position will provide logistical arrangements for regional meetings requested by the Regional Bahá’í Council or the Training Institute Board. This position does not always involve direct onsite management, much of the work can be done remotely. Hours vary depending on the needs but up to 20 hours a week could be required. Tasks involved include:
Arrange hotel meeting space, guest rooms, and catering for the monthly Regional Bahá’í Council meetings, bi-annual regional institutional meetings, annual regional Area Teaching Committee gatherings, and other meetings as requested by the Council or Training Institute Board. Gatherings usually occur quarterly for each imperative (ie: institute, children, junior youth), RIC meetings, RTIB in person meetings, 2 orientations; for RICs and youth service program; meetings with Assemblies in the Region with the Council. Regional tutor reflection spaces etc.
Arrange meeting space, event set-up and tear down, overnight hospitality, and meals for the Strengthening the Institute gatherings, currently held three times a year for each of the educational imperatives (main sequence, junior youth program, children’s program). These meetings are sometimes held at the Bahá’í Centers in either Beaverton or Bellevue. Meals are generally coordinated through Local Spiritual Assemblies and/or with individual Baha’is. Overnight hospitality is typically arranged at a local hotel and with Bahá’í families.
Create an online registration process which usually will be a google form that then goes into a google sheet for each event. Provide registration details to organizing agency.
Review all contracts for accuracy and sharing pertinent details with the organizing agency/person and coordinate their execution with the Regional Council treasurer’s accounting assistant.
Contribute to team efforts to create a culture of productivity, encouragement, learning, and unity. Tone of emails going out of the office should be warm and friendly, clear etc, good judgement, confidentiality.
